Certificate Mail Merge

One certificate template + a CSV of names = a ZIP of personalized certificates. Live preview, free, private.

100% private — names and files never leave your device

Merge certificates

Drop template PDF Your certificate design, first page stamped.
Drop CSV file Header row, e.g. Name,Course,Date

Both files are parsed on your device — nothing uploads.

Add a template and a CSV to begin
Position each field live, then batch-generate every certificate.

How it works

1

Upload template + CSV

Your certificate design as a PDF, and a spreadsheet exported as CSV with a header row like Name,Course,Date. Everything is parsed locally — student lists stay on your machine.

2

Position fields with live preview

Each CSV column becomes a placeable field. Drag the X/Y sliders, set the size and font, and the preview updates instantly on top of your actual certificate design.

3

Download one ZIP

Every row becomes its own personalized PDF — named after the recipient — bundled into a single ZIP. Free for 10 or 10,000 certificates.

Why mail-merge your certificates this way

Certificate platforms like Certifier.io and Accredible are good products — but they charge $30 to $100+ a month, put your recipients' names on someone else's servers, and meter you per credential. If all you need is the PDFs themselves — course completions, workshop attendance, volunteer recognition — that's a lot of overhead for a job your browser can do in seconds.

The workflow here mirrors the classic mail-merge idea: one beautiful template designed once (in Canva, Illustrator, anywhere), one spreadsheet of recipients, and the tool combines them. Because the merge happens on-device, there's no per-certificate fee and no waiting on a render queue; 500 certificates take about as long as your machine needs to draw text on 500 pages.

Two details make or break a merge, and both are built in. First, positioning: eyeballing coordinates is hopeless, so the live preview renders your real template and shows exactly where each field lands before you generate anything. Second, messy CSVs: quoted fields with commas inside them ("Doe, Jane") are parsed correctly instead of splitting into extra columns. Empty cells simply render as nothing, so a missing date won't print the word "undefined" across your certificate.

Worked example

A coding bootcamp graduates 240 students. The template: a one-page PDF designed in Canva. The CSV: Name, Course, Date and Instructor columns exported from a spreadsheet. Positioning the four fields with the live preview takes about 5 minutes. The merge produces 240 personalized PDFs — each named after its recipient — in roughly 6 minutes on a laptop, bundled into one 38 MB ZIP. A certificate platform would charge $30–$100/month plus per-credential fees for the same job. Cost here: $0, and no student names ever leave the organizer’s machine.

Limitations

One template per merge — different designs need separate runs. Fields are text-only; images and drawn signatures are not placeable yet. Very long names can overflow fixed field widths, so test with your longest name first. The CSV must be UTF-8 — Excel sometimes exports other encodings, in which case re-save as “CSV UTF-8” before uploading.

Frequently asked questions

How is this different from Certifier.io or Accredible?
Certifier.io and Accredible charge $30–$100+ per month for certificate mail merge and hosted credential pages. This tool does the core merge — template PDF plus CSV of recipients — entirely free in your browser, with no accounts and no per-certificate fees. It doesn't issue verifiable credential links; it produces the PDF certificates themselves.
What CSV format do I need?
A normal comma-separated file with a header row, e.g. Name,Course,Date. The first row's values drive the live preview, and every following row becomes one certificate. Quoted fields with commas inside them are handled correctly.
Can I use fields other than the name?
Yes — every column in your CSV becomes a placeable field. You can stamp the name, course title and date each in their own position, size and font, or turn off any column you don't need printed.
Which page of the template gets stamped?
The first page, which is how almost all certificate templates are built (single-page designs). If your template has extra pages, they're copied into every certificate unchanged.
Are my recipients' names uploaded anywhere?
Never. The CSV is parsed in your browser and the PDFs are generated on your device. Names, courses and dates never leave your computer — important when you're handling student or employee data.
What CSV format do I need?
A header row (for example Name,Course,Date) followed by one row per recipient, saved as UTF-8. Each column becomes a placeable text field you can position on the template.
Can I use different templates for different recipients?
Run one merge per template — each merge pairs a single PDF template with a single CSV. Split your recipient list first if designs differ by course or tier.
